This Privacy Policy describes how Vihaan Fleet Private Limited ("Vihaan Fleet", "Company", "we", "us", "our"), having its registered office at Plot No. 1, Sy. No. 42, Sagar, Manneguda, Ragannaguda X Roads, Hayathnagar, K.V. Rangareddy – 501510, Telangana, India, collects, uses, shares, stores and protects your information when you use our website, mobile application ("App") and two-wheeler rental services (together, the "Platform" and "Services"). This Policy is published in accordance with the Information Technology Act, 2000, the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011 ("SPDI Rules"), the Information Technology (Intermediary Guidelines and Digital Media Ethics Code) Rules, 2021, and the Digital Personal Data Protection Act, 2023 ("DPDP Act").
1. Consent
By accessing or using the Platform, registering an account, or availing our Services, you consent to the collection, use, storage, processing, transfer and disclosure of your information in accordance with this Policy. If you do not agree, please do not use the Platform. Where you provide information belonging to another person, you confirm that you are authorised to do so.
2. Information we collect
We collect the following categories of information:
a. Personal information
- Name, date of birth, gender, photograph and signature.
- Contact details — phone number, email address and postal/residential address.
- Driving licence details and government-issued identity documents required for KYC.
b. Sensitive personal data or information (under the SPDI Rules)
- Financial information such as payment instrument details, processed via our payment gateway (we do not store full card/bank credentials).
- Biometric or identity references only to the extent required for KYC. We do not store raw Aadhaar images; where Aadhaar-based verification is used we retain only a masked reference or a verification token issued by a licensed KYC provider.
c. Technical, device & usage data
- Device identifiers, IP address, operating system, App version and log data.
- Location data, where you grant permission, for vehicle assignment, verification and safety.
- Usage information such as rental history, duty status, dues and payment records.
3. How we collect & store
We collect information directly from you (at sign-up, onboarding and during the rental), automatically through the App and Platform, and from third parties such as KYC and verification providers and payment partners. Information is stored electronically on secured infrastructure and, where relevant, in physical records.
4. Purpose of collecting information
- To verify your identity and eligibility and to onboard you as a Rider.
- To assign Vehicles, manage rentals, collect Rent and deposits, and issue receipts.
- To process payments, refunds and reconciliation through our payment partner.
- To provide customer support and send service communications (e.g. OTPs, reminders, receipts).
- To operate, maintain, secure and improve the Platform and to prevent fraud, misuse and unsafe conduct.
- To comply with applicable legal, tax and regulatory obligations and respond to lawful requests.
5. Sharing & disclosure
We do not sell your personal data. We may share it with:
- Service providers & partners — payment gateways, SMS/email/notification providers, KYC and verification vendors, and cloud/hosting providers — strictly to provide services to us.
- Group / affiliates — where applicable, for the purposes described in this Policy.
- Legal & regulatory authorities — where required by law, regulation, court order, or to establish, exercise or defend legal claims, or to protect the rights, safety and property of the Company, our Riders or the public.
- Business transfers — in connection with a merger, acquisition or reorganisation, subject to this Policy.
6. Links to other websites & third-party services
The Platform may contain links to, or integrate, third-party websites and services. We are not responsible for the privacy practices or content of such third parties. We encourage you to read their privacy policies before providing information to them.
7. Cookies & tracking technologies
Our website and App may use cookies and similar technologies to operate the Platform, remember preferences, and understand usage for analytics and security. You can manage or disable cookies through your browser or device settings; some features may not function correctly if you do.
8. Data retention
We retain personal data only for as long as necessary to provide the Services and to meet legal, tax, accounting and regulatory requirements. Financial and transaction records are generally retained for up to seven (7) years as required under applicable law. When data is no longer required, we delete or anonymise it.
9. Security practices & procedures
We implement reasonable security practices and procedures as required under the SPDI Rules, including encryption of data in transit, access controls, data minimisation, and masking of sensitive identifiers. While we take appropriate measures to safeguard your information, no method of transmission or storage is fully secure, and we cannot guarantee absolute security.
10. Your rights
Subject to applicable law, including the DPDP Act, you may:
- Access the personal data we hold about you and obtain a summary of processing.
- Request correction, completion or updating of inaccurate or incomplete data.
- Request erasure of your data where it is no longer required.
- Withdraw consent for non-essential processing (this will not affect processing carried out before withdrawal, or processing required to provide the Services or by law).
- Nominate another individual to exercise your rights in the event of death or incapacity.
- Raise a grievance with our Grievance Officer.

11. Storage & transfer
Your data is primarily stored on infrastructure located in India. Some of our service providers may process limited data outside India; where this occurs, we take steps to ensure your data continues to be protected in accordance with this Policy and applicable law.
12. Children's privacy
The Services are intended for individuals aged 18 and above and are not directed at children. We do not knowingly collect personal data from minors. If you believe a minor has provided us data, please contact us and we will take steps to delete it.
13. Changes to this Policy
We may update this Privacy Policy from time to time. Material changes will be posted on this page with a revised "Last updated" date. Your continued use of the Services after an update constitutes acceptance of the revised Policy.
